Self-employed work may involve several clients, payment platforms or activities. A useful preparation folder starts with an inventory of that work, not just the documents that happened to arrive in your inbox.

List each source of activity

Write down the types of work you performed and where payment records can be found. Include invoicing systems, platform reports and direct-payment records. This inventory helps identify missing information; it does not decide how a receipt or transaction should be reported.

Explain differences in the records

If a platform statement differs from your own summary, preserve both and note the difference. Fees, refunds or the period covered may require a closer look. Do not overwrite a source document to make the totals match. Bring the discrepancy to the preparer as a question.

Keep context beside expenses

Organize receipts with a brief description of their business purpose when that would not be obvious from the document. Flag items with mixed personal and business use. The preparer can explain what additional information is needed to assess them.

Finish with a list of outstanding documents and questions. The IRS recordkeeping guidance explains the role of records in supporting a return; your own inventory makes those records easier to discuss. For work that overlaps with a separate business entity, ask about coordinating business and personal preparation.
