An equipment purchase may involve an invoice, financing documents, delivery information and later changes in use. Keep those facts together so your preparer can ask informed questions. The amount on a bank statement alone may not explain the whole transaction.

Create one record for each item

Identify the equipment, seller and purchase date. Keep the invoice and any supporting agreements. Note when the item became available for business use and describe what it is used for. If that date is uncertain, flag the uncertainty rather than inventing one.

Explain payments separately

Describe whether the purchase was paid outright, financed or part of an arrangement you do not fully understand. Keep the relevant agreement available. Do not substitute a monthly payment total for the underlying purchase documents or assume the two mean the same thing.

Flag changes during the year

Tell the preparer if equipment was sold, traded, damaged or moved between personal and business use. Keep related records with the original item. For older equipment, identify any prior preparation schedules you have without rewriting them yourself.

Your inventory organizes the facts; it does not decide whether or when a deduction applies. Bring those treatment questions to the preparer with the records attached. Include equipment questions in your business tax preparation inquiry so the team can explain what it needs.
