A mixed account can make a preparation handoff harder to follow. The useful first step is to identify transactions and preserve their context. Do not force uncertain entries into a business category just to finish a spreadsheet.
Use a review column
Work from a copy of the transaction export and keep the original unchanged. Add a column explaining the purpose of entries you recognize. Mark uncertain items for discussion. This produces a clearer review trail than deleting transactions you think do not belong.
Explain transfers and reimbursements
A transfer between your own accounts can appear in more than one export. Note where it came from and where it went so the preparer can understand the movement. Keep supporting reimbursement records available when personal funds were used for business activity or the reverse.
Keep ownership visible
Label each account with the person or business associated with it and the period covered. If multiple businesses use similar descriptions, add enough context to distinguish them. Ask the preparer how to handle uncertain classifications rather than treating your organizing labels as tax conclusions.
The goal is a transparent handoff with fewer unexplained entries. For a larger cleanup, discuss the accounting work separately from return preparation. Our guide to organizing business records explains how to make that distinction before the engagement begins.
