Finishing a return is a good time to organize the records you may need later. A small, clearly labeled closing folder can prevent uncertainty when you change preparers, receive a question or start the next year’s preparation.
Separate final records from drafts
Keep the final return package and filing confirmations distinguishable from working copies. Identify which person or business and year each file belongs to. Retain related state documents with clear labels so they are not mistaken for duplicates of the federal return.
Keep payment evidence accessible
Store confirmations for payments you made with notes identifying the year and agency. If a payment or filing acknowledgment is still pending, keep it on an open-item list until you understand the status. Do not assume a signed return proves that every later step occurred.
Carry forward unresolved questions
Write down questions you want to revisit during the year, such as improving records or discussing a business change. Keep that list separate from the filed return so it can evolve without altering the original document.
Document-retention decisions depend on the record and circumstances. The IRS recordkeeping guidance is a starting point, and your preparer can help identify questions about your records. A closing folder is an organizing aid, not a reason to discard supporting documents. For a forward-looking discussion, explore tax planning with ASI.
