Several years of records can quickly become one confusing folder. Before asking for help, separate the years and identify what you know about each. This makes it easier to discuss the sequence of work without assuming every year has the same problem.
Build a year-by-year status sheet
For each year, note whether you have a filed return, a draft, a filing acknowledgment or no records yet. Include any notices or payment questions for that year. If filing status is uncertain, label it uncertain instead of guessing.
Keep documents in their own year
Use separate folders for each business or person and tax year. A document received this year may relate to an earlier period, so read its dates before filing it away. Preserve original filenames or add descriptions without changing the document itself.
Discuss the sequence before starting
Ask the preparer which records must be obtained first and whether one part of the work depends on another. Explain any response dates shown on notices. A request for help does not itself establish an agreed filing plan.
